# September release: KPI Hub, smarter treatment planning and Refer a Friend

Growing a cosmetic, aesthetic or laser clinic takes a team that knows what a good month looks like, patients who understand their next step, and systems that make good practice easier to repeat.

Our September release brings **14 new updates**, connecting those pieces. **KPI Hub** helps you set targets and act on progress. **The new treatment planning and assessment experience** helps your team turn consultations into structured treatment plans. **Refer a Friend** gives your clinic a repeatable way to recognise patient introductions and track the visits they generate.

Together, they support three parts of clinic growth: giving existing patients a clear next step, welcoming new patients through referrals, and helping your team measure progress. Alongside them are updates to photography, packages, marketing and daily operations, plus **Medicare private claiming**.

The release is available from **today, Wednesday 16 September 2026**, subject to your clinic's plan, permissions and any required setup. **If you use DappleOS in a web browser, refresh the page. A key performance indicator is a measure your team uses to understand how the clinic is performing. The new KPI Hub brings those measures, your targets and your actual results into a shared view across the business, locations and practitioners, where the metric supports it. You can see where you are ahead or behind while the month is still underway.

Start with a ready-made KPI for sales, average visit value, productivity per hour, utilisation, future booking rate or treatment plan coverage. Set a target, then add minimum and stretch goals to make expectations clear.

With behind-pace alerts enabled, DappleOS can notify people with access when a KPI is at risk of missing its target once the period is underway. As closed periods build up, it can also recommend targets from your own history and explain the reasoning.

**Why it matters.** Targets give the team a shared definition of a good month. For example, if appointment time is being underused, your team can review gaps in the schedule and patient follow-up. If treatment plan coverage is behind target, it can prompt a conversation about making planning part of the consultation. KPI Hub helps you focus coaching on what the results show.

**Where to start.** Open KPI Hub and choose a few measures your team can act on. Tracking starts from creation; earlier closed periods are not backfilled. Define your skincare products under **Settings → Reports** before setting skincare KPIs.

An assessment records the patient's concerns and the practitioner's findings. A treatment plan sets out the agreed next steps over time. The new experience brings both closer together inside the clinical note, so the team can review progress and see what comes next in one place.

### A digital mirror for the consultation

The new digital mirror gives the practitioner a visual way to discuss and record concerns using the patient's own photo. They can draw directly on the image, review earlier photos and record structured assessment findings alongside it. A face diagram is available when a photo is unavailable or the practitioner prefers it. The practitioner makes the assessment. DappleOS does not automatically analyse the image or make a diagnosis.

The drawings and findings are saved with the clinical note. Where findings match your clinic's treatment plan templates, DappleOS presents suggested treatments and products for the practitioner to review and choose. This connects what is discussed in the consultation to the next steps in the plan.

### Turn findings into a monthly plan

The plan board organises recommended treatments and skincare month by month, with packages, sequencing and costs in view. Unbooked treatments, products due for repurchase and prompts when an assessment is due help the team keep the next conversation connected to the agreed plan.

### From the consultation room to the front desk

Agree on the treatments in the room, then let reception arrange multiple appointments directly from the plan. Reception selects a planned treatment, chooses an available time and confirms the appointment without opening the appointment book.

Booking status stays visible, so the whole team can see what is arranged and what still needs attention. The handover carries the practitioner's agreed recommendations through to reception, with less need to repeat the discussion or reconstruct the plan.

### More improvements that make plans easier to build and manage

- **Build the plan your way.** Add items individually, add several at once or start from a clinic template, making it easier to turn an agreed recommendation into a complete plan.

- **Move treatments between months.** Drag and drop to adjust the schedule, with tap controls available for the same actions.

- **Bring packages into the plan.** Apply a purchased package or add a package from the catalogue, with coverage indicators showing remaining, over-committed or expired credits.

- **Keep treatments in sequence.** Set a treatment to follow another so it cannot be booked before its prerequisite, helping reception follow the practitioner's intended order.

- **Adjust a course without rebuilding it.** Use fixed-frequency options and session counts, then apply an edit to one occurrence, that occurrence and all later occurrences, or the whole series.

- **Manage scripts from the plan.** See prescription status on treatments that require a script and request one from a prescriber without leaving the plan. Authorised prescribers can issue directly where self-scripting is enabled.

- **Make the cost conversation clearer.** Use month subtotals, a plan quote and the unit calculator. Control price visibility through a clinic default and an individual plan override.

- **Make everyday edits easier.** Favourites, access to the photo library from a treatment and undo for plan changes help the team work with fewer interruptions.

**Why it matters.** A shared treatment plan carries the consultation through to reception, helping your team organise the agreed next steps and review progress at the next visit.

### Before you switch

**Where to start.** Go to **Settings → Experiences**. Users can tour the changes before your clinic administrator enables the new experience.

Review your assessment settings and templates together. The new workflow uses a standard assessment catalogue; clinic-authored assessment questions and sending a plan by short link are not yet included. Your customer success manager can help you assess the fit.

## What this looks like in a growing clinic

For example, a clinic can:

1. **Prepare:** the clinical lead sets up assessment-matched templates.
2. **Agree:** the practitioner and patient decide the appropriate next steps.
3. **Book:** reception arranges those treatments from the plan and checks package coverage.
4. **Review:** the manager tracks plan coverage and future booking rate in KPI Hub to guide team coaching.

A patient recommending your clinic is a valuable introduction. Refer a Friend gives that introduction a clear path into booking, a record your team can follow and a consistent way to say thank you.

With the new Refer a Friend feature, patients share a personal referral link from your clinic's branded patient app. Friends can follow it into online booking, enter the referral code when booking, or have your team record the referral.

Your clinic customises the messaging, what counts as a qualifying paid visit and the rewards offered to each person. A qualifying visit is one that meets the rules your clinic has set, so the team has a consistent basis for recognising an introduction.

The reward is released only once the referred patient pays for a qualifying visit. Referral details sit in the patient record, patients can see their link and progress in your clinic's branded app, and a referral dashboard helps you track the program.

**Why it matters.** Referrals become something your team can support consistently. You can recognise the patients introducing friends, see which introductions become qualifying visits, and apply your reward rules without relying on someone remembering at the desk.

**Where to start.** Go to **Settings → Refer a Friend**. With the required Marketing and Rewards access in place, enable the program for your brand and set its terms and expiry window. Review the qualification rules, rewards and messages in the two referral automations, then switch them on.

For clinics offering medical services alongside aesthetics, billing needs to support both. Our September release extends DappleOS’s Medicare integration to support private claiming, bringing eligible patient claims into your existing invoice workflow.

Your clinic might offer women’s health and menopause consultations alongside aesthetic treatments, or skin cancer checks within a doctor-led practice. Where a service meets the relevant Medicare Benefits Schedule (MBS) requirements, your team can submit the patient’s private claim through DappleOS.

With **After Payment** selected, DappleOS transmits the claim automatically once the invoice is paid in full. The patient pays your clinic’s fee, and Medicare assesses the claim and pays the applicable rebate directly to the patient.

**Why it matters.** Claiming becomes part of your billing workflow, giving patients one less administrative step after their visit. Your front desk has a consistent process for submitting eligible claims from paid invoices. For clinics combining aesthetics and medical care, it brings more of the work you do into the same system.

**Where to start.** Contact your customer success manager to confirm activation and your clinic’s Medicare setup. Providers and locations need to be configured, private MBS items priced, and the patient’s Medicare card and private billing consent recorded. Once enabled, start from the **Private Medicare** tab when creating an invoice and follow its claim-readiness checks.

## More consistency in the treatment room

New status badges show whether photos need capturing or recapturing, or are already there. A red **Need capture** badge flags what needs attention; a green **Has photos** badge shows that photos are present.

**Why it matters.** Your team can spot missing photography during the consultation and organise the images needed for a consistent record.

**Where to start.** Open the Photos card in a clinical note to review the photo status for each treatment. To set photo requirements, go to **Settings → Treatments**, edit the treatment option and review its **Photos** section. Staff need image access to see the card.

Device parameters are the settings recorded for a treatment, such as device mode, treatment area and duration, depending on the form. Dedicated forms now sit inside the clinical note. When creating a note, the practitioner can enter today's settings while seeing the dated values used previously.

**Why it matters.** Previous treatment details stay close at hand, reducing the need to search between visits. The practitioner reviews the history and records the settings appropriate to the current treatment.

**Where to start.** Create the parameter form under **Settings → Forms**, then attach it to the treatment option under **Settings → Treatments** with completion set to **By practitioner**. Once practitioner forms in notes are enabled for your clinic, complete the form inside the clinical note. Your customer success manager can confirm availability.

The new marketing photo library brings together before-and-after photo pairs with recorded marketing consent. Filter by gender, age range and treatment to find relevant examples across the clinic. If consent is withdrawn, the patient's photos are removed from the library on the next load.

**Why it matters.** Your team can find examples for marketing in one place, with recorded consent determining which photos appear in the library.

**Where to start.** Open **Marketing → Photo Library** and filter for the treatment or patient group you need. Patients must have recorded image marketing consent. If the library is not visible, ask your administrator or customer success manager to check your clinic's access and your viewing permission.

## Packages and promotions your team can deliver consistently

Package coverage tells reception whether a patient's purchased package includes the planned treatment. The appointment book now makes it easier to see who has a package, who does not and how many visits remain. It also shows package progress and membership status, with warnings where a balance will run out before the visit without renewal.

**Why it matters.** Reception can prepare for the next conversation with the relevant package information already visible on the schedule.

**Where to start.** Open an appointment and review its **Packages** panel. Basic coverage appears when the patient has an active package matching the booked items. Ask your customer success manager to confirm that the enhanced progress and membership details are enabled for your clinic.

An automatic discount rule tells DappleOS when an offer should apply. Your clinic configures the conditions, such as the treatment, day of the week, location or practitioner, along with any promotion dates and usage limits. DappleOS checks those conditions as the invoice is built and applies the qualifying offer without staff entering a coupon code or choosing a manual discount.

For example, a clinic could configure a 10% discount on a selected facial treatment on Saturdays. The rule checks the invoice date and treatment, then applies the discount to qualifying invoice items. This is rule-based invoice pricing, rather than pricing that changes with live appointment demand; it applies at checkout, not when a patient chooses an appointment online.

**Why it matters.** Your team has a consistent way to honour configured offers as the clinic grows, with less reliance on staff remembering the details of each promotion.

**Where to start.** An administrator can go to **Settings → Discounts**, select **Create** and choose the rule-based option. Set the qualifying conditions and discount, then save the rule as active. If the rule-based option is missing, contact your customer success manager to confirm availability.

A coupon code identifies an offer that can be applied to a patient's invoice. Create codes manually or through automations, see which codes a patient has on their profile, then apply an eligible code at checkout. Eligibility and usage checks help your team apply it consistently; automations can also issue patient-specific, single-use codes.

**Why it matters.** This connects the offer a patient receives to its redemption at reception, with eligibility checks helping staff apply it consistently. Coupons do not apply to Medicare-funded lines.

**Where to start.** With coupon management access, open **Marketing → Coupon Codes → Create** and set the offer, eligibility and expiry. On an invoice, select **Add Coupon**, enter the code and choose **Apply**. If the invoice option is missing, ask your customer success manager to confirm it is enabled.

Together, these updates help your clinic manage multiple marketing offers with less reliance on manual price edits and discounts. Your front desk has the information and configured rules ready as the invoice is built.

## Growth activity you can repeat and measure

A branch is a decision point in a workflow. DappleOS checks the configured condition, then follows the matching path to the next action. You can now add branching to any automation.

Where the relevant information is available, a condition can use a form answer or assessment finding to choose the next step.

**Why it matters.** Your team defines the conditions and actions once, helping routine follow-up stay relevant as the clinic grows.

**Where to start.** Open **Marketing → Automations**, choose an automation and select its trigger. Add a **Check Trigger Data** step, then add and label the branches, set their conditions and choose the next actions. The available conditions depend on the data supplied by the trigger.

The new performance tab helps you understand what happens after a message is sent: whether it is delivered, how patients engage with it and whether it achieves a configured goal. A goal defines the action you want to measure, such as an appointment booking or purchase.

**Why it matters.** These results give your team a basis for reviewing campaigns and deciding what to adjust next, connecting message engagement with the action you want patients to take.

**Where to start.** Open an automation or broadcast under **Marketing**, go to **Goals & Conversions**, choose the goal, target and conversion window, then select **Save Goal**. Review results under **Performance**. Saving or changing a goal starts measurement from that point; if the tabs are missing, check your marketing access with your administrator or customer success manager.

Administrative notes give your team a place to record non-medical information on a patient’s file. Use them for callback requests, scheduling conversations, invoice queries and other operational follow-up. Saved entries appear in the patient’s notes timeline with an **Administrative Note** label.

**Why it matters.** Reception can leave a clear record of what was discussed and what needs to happen next, helping the next team member continue the conversation. Keep clinical findings, treatment decisions and medical information in a clinical note.

**Where to start.** Open the patient’s file, click **+** and select **New Administrative Note**. Enter the note, then select **Save**. If the option is missing, ask your administrator or customer success manager to check that Administrative Notes is enabled for your account and that your staff profile has the **Administrative Notes** permission.

A time block reserves space on the schedule for work outside patient appointments. You can now add a task checklist to that block, making it clear what the reserved time is for and showing progress on the appointment book.

For example, a clinic administration block could include reviewing tomorrow's appointments and following up outstanding forms. Tasks belong to each individual occurrence, so each reserved session has its own checklist.

**Why it matters.** The time reserved for work and the checklist for completing it sit together, helping staff see what needs doing and track progress.

**Where to start.** Open a time block in the appointment book and use **Tasks → + Task** to add work to an existing block. Tasks need to be enabled for your clinic, and staff need permission to create or edit them. For recurring blocks, add tasks to the relevant occurrence; tasks entered while creating a series apply only to its first occurrence.
